View and Run Reports

Practice Relief supplies a comprehensive set of reports on all aspects of the billing process.

Reports are of three types: Client, Staff, and Firm.

Client Reports

  • Client Aging: Lists all outflows, inflows, and Accounts Receivable outstanding for three months or more for a selected date range.

  • Client Realization: Analyzes fees and expenses for each client for a selected date range, comparing totals to amounts billed. Percent realized equals (Fees Billed + Expenses Billed) / (Total Fees + Total Expenses).

  • Client List: Provides the code, name, contact person, email, and phone for all clients or those with activity within a specified date range. You can filter the list by Category (prospects or customers), or by Application used, and specify to list only tax customers.

  • Client Ranking: Ranks clients in order of fees received for a selected date range.

  • Client Task List: Lists all clients alphabetically and includes the staff member, description of the task or expense, hourly rate, and duration for a selected date range.

  • Client Billing: Provides information about the amounts billed to each client in Summary or Detail mode. Detail mode specifies invoice information, including the invoice number, date, and amount, and the amount paid, while Summary mode lists only the client's name, the amount billed, and the amount paid.

  • Client Profile: Provides an overview of how each client uses the applications to which they have access for a selected date range. Includes basic demographic information, and indicates when the client signed up to use Accounting Power, Payroll Relief, After-the-Fact Payroll, or Cloud Cabinet, as well as statistics on items added for each program and charges incurred.

Staff Reports

  • User Productivity: Analyzes billable, non-billable, and billed hours, fees, and costs for all staff members for a selected date range. The billable percent equals Billable Hours / (Billable + Non-Billable). Realization ratio equals Billed / Billable Hours.

  • Time Cards: Lists all staff members' time spent for all clients, including tasks, hourly rates, and duration for a selected date range.

Firm Reports

  • Expense Listing: Lists all expenses set up for the firm, with codes, descriptions, markup amounts, and taxable/billable indicators.

  • Firm Performance: Compares total unpaid invoices to total tasks and invoices to be invoiced, allowing you to gauge your firm's performance for a selected date range.

  • Task Listing: Lists all tasks set up for the firm, with codes, descriptions, taxable/billable status, fixed rates, and rate levels.

  • Invoice Summary: Summarizes invoice information, including bill totals, amounts paid, and amounts due for all clients for a selected date range.

  • Cash Receipt: Lists payments received, identified by Payment Type, Invoice Number, and Reference Number for all clients for a selected date range.

You can view all reports as PDFs, Excel spreadsheets, or Word documents.

To run a report:

1.  Select Clients, Staff, or Firm from the Reports menu to open the appropriate screen.

Depending on your selection, the Clients Reports, Staff Reports, or Firm Reports screen opens, listing all of the available reports for each category.

2.  Select the report to run from the Reports panel.

Specific criteria fields appear on the screen if the system requires additional information for the report.

3.  Enter the requested information for the specified report in the additional criteria fields.

For example, some reports require a date range, or ask you to select a specific client or staff member.

Client Aging report: Select a specific client from the Client drop-down list or select All to review all clients.

Client Realization and Client Profile reports: Specify a date range for the report in the Date From and To fields and select a specific client from the Client drop-down list or select All to review all clients.

Client List report: Specify All Clients or Clients With Activity, enter a date range for the report in the Date From and To fields, use the Select Type field to specify to review Customer, Prospect, or All client records, select a specific application or All from the Application drop-down list to filter the report to display all clients or only users of specific applications, and select the Tax Customers Only option to review only tax clients.

Client Ranking report: Specify a date range for the report in the Date From and To fields.

4.  Click the PDF, Excel, or Word button to select the format in which to view the report.

Reports open in the application you specified, or, for PDFs, in a separate tab of your browser.

5.  Use the native Save and Print options in the format you selected to save your report or print a copy.
