Create Invoices from Retainers

The Invoice from Retainer screen lets you generate invoices from clients on retainers.

If you have set up your own firm as a client in Accounting Power, the data you enter here can be used to automatically generate invoices in Accounting Power and update all journal activity behind the scenes.

The Invoice from Retainer screen displays all unbilled retainers for all clients, with columns identifying the next invoice date, the client name, a description of the retainer, and the amount to be billed.

To create an invoice:

1.  Select Invoice from Retainer from the Billing menu to open the Invoice from Retainer screen.

The screen displays a list of all unbilled retainers.

2.  Indicate the end-date of the period billed in the invoice in the Date Up To field.

This field indicates the closing date of the period billed. By default, the field displays the current date, but you can click the field to select a different date from the calendar.

3.  Click Select to reorder the screen to display all unbilled retainers from before the closing date.

4.  Select the check box in the Select column for the retainer to bill.

Note: You can use the Select All and Clear All buttons at the top of the Select column to create invoices for all outstanding retainers, or to clear all of your selections.

5.  (Optional) Select the option to Enable the Invoice To Be Created in Accounting Power to create the invoice in Accounting Power, rather than Practice Relief, using the client and retainer amount reflected here.

This option is available only if you have set up your own firm as a client in Accounting Power.

Note: If the client or task in the invoice does not match a customer or a service on the Accounting Power Products/Services list, the customer or service is created in Accounting Power.

6.  Click Create Invoice to generate invoices for the selected items.

o       If you did not create the invoice in Accounting Power, the completed invoice appears, and is saved to Practice Relief. You can edit or print the invoice as needed from the Invoice screen.

o       If you generated the invoice in Accounting Power, the invoice is created there (if the client does not match one created in Accounting Power, a new client is created). When the invoice has been successfully created, Practice Relief displays the Accounting Power invoice number.
